General Information

1. What makes Versio different from other transcription companies?

Our high-quality and friendly, knowledgeable client support set us apart from other transcription companies. We are also one of the only, if not the only, transcription company in the country performing EMS transcription, which we have been doing since 2010.

2. Do you use speech recognition or humans to transcribe?

Clients can choose speech recognition technology with human backup, 100% “scratch” human transcription, or a combination of both.
With speech recognition, our software makes a draft of the transcription, and then human transcriptionists review the document and correct any errors in the draft.
With “scratch” transcription, humans would transcribe the document without the use of speech recognition software.

3. Do you offer a no-obligation trial of your services?

Yes. We offer 60-day or 90-day trials that do not require you to commit to a long-term contract.

4. Is your system HIPAA-compliant?

Yes. We operate solely on a HIPAA-compliant transcription platform, and our mobile dictation application is also 100% HIPAA-compliant. In addition, each transcriptionist is required to obtain HIPAA certification annually.

5. What are your Client Support Desk hours?

Our Support Desk operates Mon-Fri 7 a.m. to 4 p.m. Pacific Time. However, 24/7/365 support is available to clients who request it.

6. Do you offer Legal Transcription?

Yes, in a limited capacity. We do not certify transcriptions; however, we can transcribe documents that do not require certification.

7. Do you offer General Transcription?

Yes. We can transcribe interviews, letters, articles, research papers, theses, etc. Pricing is typically calculated per audio minute.

EMS/Paramedic Documentation FAQ

1. What experience does Versio have in EMS transcription?

We have been performing EMS transcription since 2010. We are one of the only, if not the only, transcription company in the country that offers EMS transcription. We also have training from PWW, an EMS law firm, and some of our team are CADS (Certified Ambulance Documentation Specialist) certified.

2. What kind of EMS training do your transcriptionists have?

Since Versio is the only EMS transcription company in the country, we do our training internally. Every member of our transcription team has a strong background in medical transcription and also undergoes specialized training at Versio for EMS transcription. Their work is reviewed 100% until they can pass a strict review. They are then allowed to release work directly to clients, but still with QA oversight via random reviews.

3. How does Versio’s First-Pass Documentation QA work?

This is one part of our service that really sets Versio apart. We work with your department leadership to formulate a set of documentation protocols if you do not already have one. Then, as we transcribe, we assess each narrative against the approved protocols, flagging any discrepancies so they can be addressed by the medic before the PCR is signed off.

In other words, the QA/QI process starts before the PCR is even finished, not days or weeks down the road.

This has helped our clients improve their documentation to the point where their reimbursement rates have increased, and their reports are clean, polished, organized, and consistent, meeting all the department’s standards.

4. What is Versio’s Documentation Improvement Program?

This is a multi-pronged team approach to improving the quality of our client’s documentation. We work together with your department leadership, your internal QA/QI, your field instructors, your billing company/department, and the medics themselves to coordinate efforts to meet the common goal of high-quality PCRs.

5. How can Versio help me increase my reimbursements from insurance companies?

We help your team write better reports, with sufficient detail and without missing information, which helps them meet the insurance companies’ criteria for reimbursement. We help eliminate contradictions and ensure your PCRs are easy to read, organized, and consistent.

6. How can Versio help decrease time on task for my crews?

A typical PCR narrative takes 20-40 minutes to create. With dictation/transcription, this time is reduced to less than 10 minutes, saving an average of 20 minutes for each PCR. This can add up to 2 hours or more per medic per day, and your team is back in service in minutes.

7. How does better documentation help in the case of litigation?

When you have to defend yourself in court, you will depend on your documentation for the facts of what happened in a particular incident, which might have been years prior. You will want that PCR to be as complete and accurate as possible. Versio watches for contradictions, missing information, and insufficient detail that could bring your performance into question or leave you poorly prepared for court.

8. How does Versio help with documenting Refusals of Transport?

Refusals are the riskiest kinds of calls and the ones that land in court the most often. There are at least 7 key pieces to a refusal statement (or more depending on your department’s protocol). If any of the 7 pieces are missing, Versio flags it for you so it can be addressed before the PCR is signed off.

9. Do you interface with ePCR systems?

Yes. We can write interfaces with your ePCR program. We can also transfer the text to your ePCR by a simple, low-tech copy/paste in cases where an interface might be a costly overkill solution.

10. What does the workflow look like?

Providers dictate using our HIPAA-compliant mobile app on their cell phones. The voice file is immediately available to our transcriptionists and is transcribed on our specialized platform. It can then be accessed by clients on our platform or transferred to an ePCR program via copy/paste or interface. The completed transcriptions are stored on our site indefinitely at no extra charge.

11. What is your turnaround time?

Turnaround times are negotiated with each client contract, but they typically run 2 hours (stat) to 24 hours.

12. How much does your service cost?

Because of the variables involved, we do not post specific pricing online. However, for most of our clients, each PCR’s cost is less than 7/10 of 1% of the chargeable amount for an ALS run.

Even better, the increase in reimbursements and productivity (see #4 above) could more than cover the cost of the service, even resulting in a net gain for your department!

13. How are your charges calculated?

Our pricing is very transparent and simple. Clients are typically charged on a 65-character line. We count the number of characters in the completed document and divide it by 65. No, we do not offer this service currently. Scribes are typically medical students who work as scribes for a short time while in medical school and then move on. We find that the “revolving door” makes it difficult to maintain our high-quality standards.
